Stocktakes
A stocktake is a physical count of your shelves. Instead of adding or removing items one at a time, it sets the actual quantity you have, correcting any gap between your records and reality. You'll find it under Inventory β Stocktakes, and it's fastest with the Barcode scanner. Why stocktakes matter There are two ways to think about a stocktake, depending on how you work: - As a check on your tracking. If you already adjust stock as you sell and use products, a regular stocktake is your safety net β it catches the small discrepancies that always creep in (a missed sale, a breakage no one logged) and resets your numbers to the truth. - As your tracking itself. If you don't log every sale and use, counting your shelves every week or two is how your inventory stays accurate. The stocktake does the work for you. Either way, accurate counts keep the value of your inventory right and help you avoid tying up cash in overstock or losing sales to understock. There's also a quiet bonus: the more regularly you take stock, the better Suplery can estimate how fast you use each product and predict what you'll need to reorder β so your counts feed straight into Plan & schedule orders. π‘ A good rhythm for most businesses is a stocktake every one to two weeks. Smaller places often manage monthly β but more often is better, both for accuracy and for the order predictions Suplery builds from your counts. You don't have to count everything at once. A partial stocktake β just one shelf, one brand, or your fastest-moving products β takes only minutes, so it's easy to fit in often. Counting in small, regular rounds keeps your busiest products accurate without ever blocking out time for a full count. Your stocktakes The Stocktakes tab lists every count β its name, who created it, its status, and its completed and last-updated dates. Search by name to find one. Because every stocktake stays in the list, you can see at a glance whether a colleague has already started one but not finished it. A stocktake moves through four statuses: - In progress β counting has begun. - Paused β on hold, ready to resume. - Completed β finished and applied to your stock. - Canceled β stopped or reversed; it doesn't affect your stock and stays as a record. Start a stocktake 1. Click Start new stocktake. 2. Keep the name Suplery fills in, or type your own. 3. Start counting. While you count, search across all products, uncounted, counted, and excluded items to keep your place. π‘ The date of a stocktake is its snapshot in time β it fixes exactly when these numbers were true. This matters most around deliveries: set the date just before an arrival to count without the new stock, or after it to include the new items. Two people counting a minute apart will still agree, because the date settles which moment counts. Count your stock 1. For each product, enter what you actually have in the Counted column. 2. An indicator shows how your count compares with what Suplery expected: - β it matches - β you have fewer than expected - β you have more than expected 3. Keep going until you've counted everything you need. π‘ Your work saves automatically every time you make a change, as long as you're online β so you'll never lose a count. Counting goes much faster with a scanner: scan each item with the Barcode scanner and just enter the quantity. Pause and pick up later β click Pause in the top corner to stop, then open the paused stocktake and click Resume stocktake when you're ready. Count only some of your products You don't have to count everything. Just skip the products you're not counting β when you finish, Suplery offers to exclude them in one click, and their quantities stay exactly as they were. Handy for a quick count of a single shelf or one brand. When a product shows a warning Ideally nothing changes mid-count β but if a product is sold or used while you're counting, its number can shift. Suplery flags those products with a warning so you can give them a second look; the note beside it tells you whether stock ended up higher or lower than expected. To clear a warning, choose: - Keep set quantity β confirm the count you entered, or - Edit counted quantity β recount and enter it again. The warning disappears as soon as you edit the quantity. Complete your stocktake 1. Click Complete stocktake when you've finished counting. 2. If anything is still uncounted, Suplery asks what to do: - Exclude β leave those products' quantities untouched. - Set quantity to 0 β zero them out. - View β open the list of uncounted items first. 3. Click Complete stocktake again. If there are warnings, you can Reviewthem one by one, or Keep set quantity and complete to accept your counts as they are. Your stocktake is saved at the moment you complete it, and the finished view shows its name, date, what was counted or excluded, and any discrepancies β so your stock now matches your shelves. Edit, cancel, or restore - Edit a completed stocktake β open it, click Edit stocktake, change what you need, and click Update stocktake. - Cancel a stocktake you've started β click Cancel. If you'd counted at least one item, it moves to the canceled list; if you'd counted nothing, it's simply deleted. - Cancel a completed stocktake β you can't undo it, but canceling erases its results and recalculates your stock as if it never happened. - Restore a canceled stocktake β click View canceled, find it, and click Restore stocktake. An unfinished one comes back as Paused so you can keep counting; a completed one is reapplied and adjusts your stock to its original count. β οΈ Canceling or restoring a completed stocktake changes your stock levels β it's worth a second look before you confirm. FAQ π¬ How often should I do a stocktake? Every one to two weeks is a good target. Smaller businesses often do it monthly β but the more regularly you count, the more accurate your stock and the better Suplery can predict your reorders. π¬ Why does the stocktake date matter? It's the snapshot moment your count represents. Setting it around deliveries decides whether newly arrived stock is included. π¬ What do the arrows and checkmark mean? β your count matches what was expected, β you have fewer, β you have more. π¬ Why does a product show a warning? Its stock changed while you were counting β review it, then keep or re-enter the quantity. π¬ What happens if I cancel a completed stocktake? Its results are erased and your stock is recalculated as if that count never happened. Related articles - Inventory management - Barcode scanner - Plan & schedule orders - Reports
π₯ Order management15. Share product lists
Not everyone on your team needs to place orders β but everyone runs low on things. Shared product lists let a team member who can't place orders pick what they need and hand the list to a colleague who can, so specialists flag their refills and one person places the order. Whether you can place orders is set by your role β see Users & permissions. Do you share, or check out? It comes down to one button in your cart: - If you can place orders, your cart has a checkout button (β Order from the Shop). - If you can't, that button is replaced by a share button. You'll have one or the other, never both. Share your product list If you don't have permission to place orders: 1. Browse the Shop and add products to your cart as usual β everything about the cart itself is in Order from the Shop. 2. Open your cart and use the checkboxes to choose which suppliers to include. 3. At the bottom, the button reads Share all as product list, $[total] β or Share all with [Name] when there's only one colleague who can order (and Share selectedβ¦ when you've picked just some suppliers). Click it. 4. In the Share product list window, choose who to Share products list with (a dropdown β it remembers the last person you shared with), add a Comment for [Name] (optional) explaining what you need, and click Share products list with [Name]. π‘ Use case. A lash tech is down to her last few adhesives and pads β she ticks those suppliers, adds a note ("running low, need these this week"), and shares the list with the salon owner. No back-and-forth texts, no forgotten items. π¬ Can I share with more than one person? You share with one colleague at a time. To hand it to someone else instead, reassign it (below). After you share The products leave Your cart and move to the Shared product lists tab, where you'll see your name, your comment, and the same supplier blocks. From there you can keep shopping and share again, or Reassign the list to a different colleague β as the person who created it, you can change both the recipient and the comment, then click Update product list. Receive a shared list If you can place orders and a teammate shares a list with you: 1. You'll get a notification that they've shared a list. 2. Open your cart β the Shared product lists tab shows a badge with how many lists you've received. Each one shows who it's from, their comment, and the products grouped by supplier. 3. Choose what to do: - Add to my cart β the products join your cart so you can review and order them. The button then flips to Exclude from my cart, and you'll see "Products list added to your cart." - Reassign β forward the list to another colleague who can order. As the receiver, you can change the assignee only, not the comment. Click Update product list to confirm. Added a list by mistake? Exclude from my cart takes those products straight back out. Shared products in your cart Once you've added a shared list, its products sit in your cart alongside anything you added yourself, with a couple of helpful cues: - Each product carries a badge showing who added it β your initials and the sender's. - If you both added the same product, you'll see separate quantity columns, one per person, so you decide the final amount to order. You're never locked into the request β change quantities, remove products, or skip suppliers entirely before you order. Ordering closes the list When you place an order that includes shared products, that shared list disappears from both your Shared product lists tab and the sender's β so they know their request has been handled. And when that order is delivered, the person who shared the list is notified that their products have arrived, so whoever asked for the refills knows they're in. A few things worth knowing: - You don't have to order everything on the list β adjust quantities, drop items, or skip suppliers. - Even if you change things after adding them, the list counts as processed once you check out. - The sender simply sees that the list was handled, not a line-by-line breakdown of what you ordered. When something changes before you share or order Suppliers and stock can shift between adding products and sharing or ordering them. Suplery keeps the list accurate and tells you when something's changed: β οΈ A supplier's status changed β if a supplier now needs a connection request, or has blocked or declined you, you'll see a "[supplier] status has been updated" notice and the cart refreshes. Check it, then carry on. Some items are no longer available β if a supplier has fewer units than you asked for, the Some items are no longer available window appears; set new amounts and click Set a new quantity and continue. Reassigning to someone who can't order β if the colleague lost the ability to place orders or was archived, you'll see "User doesn't have Orders role anymore" or "The user has been archived." Just pick someone else. Both of you can work on a shared list at the same time; if your changes overlap, the most recent one wins. Who can do what | | Can't place orders | Can place orders | | ---------------------- | ------------------ | ---------------- | | Browse the Shop | β | β | | Add to cart | β | β | | Place orders | β | β | | Share a product list | β | β | | Receive a shared list | β | β | | Reassign a shared list | β | β | FAQ π¬ Why do I see a share button instead of checkout? Because your role doesn't include placing orders. You can still build lists and share them β see Users & permissions. π¬ Can I share with several people at once? No β one colleague at a time. Reassign the list to switch recipients. π¬ Do I have to order everything on a shared list? No β change quantities, remove items, or skip suppliers. Once you check out, the list is marked handled. π¬ What happens to the list after I order it? It disappears from both your tab and the sender's, so everyone knows it's done. π¬ The person I want to reassign to isn't in the list. They've either lost the ability to place orders or been archived β pick someone else, or check Users & permissions. π₯ Order management13. Manage your orders
After you place or record an order, it lives in the Orders tab β one order per supplier, Suplery and external alike, all followed and received the same way. (To build an order, see Order from the Shop or Create an order.) Find your orders Search by order number, name, or brand, and narrow the list with the filters at the top and a date range: - Open β in progress, not yet completed or cancelled (the default view). - Completed β delivered. - Cancelled β cancelled orders. - All β everything, Suplery and external. Each row shows the order number and its status, the brand or supplier, the number of products, the total, and the date placed. External orders are marked "External order," and any drafts you've saved appear here too β open one to finish it in Create an order. π¬ Don't see the Orders tab? If your account can't place orders, the tab is hidden β but you can still build a product list and hand it to whoever does the buying. See Share product lists. Open an order Click any order to see its details, across two tabs: - General β the order date, product total, estimated tax, supplier, delivery address, shipping, payment method, a status progress bar, and the full product list with each line's stock level, price, quantity, and amount. - Messages β a direct line to the supplier about this order (more below). For an external order, the order number, date, and any amount adjustments show here as well, and you can edit them. Follow the status Every order moves along a progress bar: Order placed (New) β Processing β Shipped β Delivered - Order placed (New) β sent to the supplier for review. - Processing β the supplier confirmed it and is preparing it; for a Suplery order, your card is charged at this point. - Shipped β on its way, with tracking available. - Delivered β arrived, and the products are added to your inventory. π‘ Why do my orders show different statuses right after placing? Some suppliers auto-approve orders (they jump to Processing), while others review each one first (they stay in New until confirmed). You'll also see Cancelled orders, and any Draft you built but haven't placed. Track your delivery For Suplery orders, a tracking link appears in the order the moment the supplier ships, and Suplery follows it for you β the status moves to Delivered on its own. For external orders, you can add a tracking number yourself: open the order and enter the number from your supplier's shipping confirmation. It's worth doing β once Suplery has the tracking number, it follows the delivery just like a Suplery order and adds the products to your inventory automatically when they arrive, so you never have to remember to mark it received. You also get to watch where the package is along the way. Each supplier ships on its own, so if one order covered several suppliers, expect a separate delivery from each. Receiving: from "on the way" to "on the shelf" An order lives in two clear stages: placed (the products are on their way) and received (they've arrived and joined your stock). Keeping the two apart is what keeps your inventory honest β products you've ordered don't count as available until they're actually in your hands. - Suplery orders, and external orders with a tracking number, are received automatically on delivery. Suplery adds the products to your inventory and updates your stock history for you. - For an external order without a tracking number, mark it received yourself with Receive order productswhen it turns up. π‘ Until an order is received, it shows in each product's stock history, marked Upcoming β so you always know what's on the way. More in Inventory management. Why two stages are worth it: - Your on-hand numbers stay accurate. A box in transit isn't stock you can use yet, so it doesn't inflate your counts β and you won't promise a client something that hasn't landed. - You can plan around what's coming. Incoming orders are visible as upcoming deliveries, so you know what's about to arrive and when to hold off reordering. - Receiving is a checkpoint. It's your moment to confirm a delivery matches the order before it changes your stock. π‘ Use case. You order a fast-selling toner on Monday and it arrives Thursday. All week your inventory shows what's really on the shelf β not the incoming box β so a Wednesday booking never counts stock you don't have yet. When it lands Thursday, receiving it tops you up. π‘ Use case. A supplier sends nine of the ten items on an external order. Because you receive it by hand, you catch the short delivery as you check the box in β instead of your stock quietly assuming all ten arrived. Cancel, edit, and restore - Cancel. A Suplery order can be cancelled only before it ships (New or Processing); once shipped, wait for delivery and arrange a return with the supplier. An external order can be cancelled anytime β its products are removed from your inventory and the order moves to Cancelled. - Edit. A Suplery order can't be edited β if you need different products or quantities, cancel it (if unshipped) and place a new one. An external order can be edited from Action β Edit external order, including its products, quantities, prices, order number, and date; editing one you've already received adjusts your inventory to match. - Restore. A cancelled external order can be restored. If it had already been received, it returns to Ordered, so you'll receive it again when it arrives. π‘ Need the same order again? You can repeat any order to start a new one pre-filled with its products, then adjust and place it β see Create an order. Message your supplier Every order has a Messages tab β a direct line to that supplier, with the whole conversation kept attached to the order. It's the simplest way to handle anything order-related without hunting through email or looking up a phone number: the supplier can see exactly which order you mean, and so can you when you look back weeks later. Just open the order, go to Messages, and send. π‘ Use case. A delivery's running late β open the order's Messages and ask the supplier for an update, right where the order details are. π‘ Use case. A jar arrived damaged β message the supplier from the order to arrange a replacement, and the whole thread stays tied to that order for reference. Your central Messages inbox and connection requests (approval to order from certain suppliers) are covered in Suppliers management. Notifications You'll be notified as each order is placed, paid, shipped, and delivered, so you can follow progress without living in the Orders tab. FAQ π¬ Do I have to mark orders as received? No β Suplery orders and external orders with a tracking number receive themselves on delivery. You only receive by hand for an external order with no tracking number. π¬ How do I track an external order? Open it and add the tracking number from your supplier; Suplery then tracks it and receives it into inventory automatically on delivery. π¬ Can I change an order after placing it? A Suplery order can't be edited (cancel it before it ships and reorder); an external order can be edited anytime. π¬ My order was delivered β where are the products? They're added to your inventory automatically, and you'll see the change in the product's stock history. π¬ Where do I see an order that hasn't arrived yet? As an upcoming delivery in each product's stock history. ποΈ SetupCompany settings
Your Settings hold everything about your business on Suplery β your company details, licenses, payment cards, tax exemption, and where your orders are delivered. Open Settings from your avatar in the top-right corner. You'll see four tabs: Company, Licenses, Payments and Taxes, and Delivery. This article walks through each one. If you get stuck anywhere, there's a Contact support link at the bottom of every tab. π¬ Looking for your own name, email, or password? Those live in your personal account, not here β open the avatar menu and choose Your account. See Your account & your businesses. How saving works Each tab saves on its own. When you change a field, a Save [tab] settings bar appears and stays in view as you scroll. Click it to save β you'll see a "Settings successfully saved" message. π¬ Leaving a tab with unsaved changes? Suplery will ask whether to save or discard them before you move on. If you leave without saving, those changes won't be carried over β they're lost. β οΈ Some company details are re-checked for security before they take effect β your legal name, EIN, company name, services, photos, social links, description, licenses, and exemption certificate. After you save one of these, you'll see "will be updated soon after a little checking," and you'll get a notification once it's applied (all, some, or none of the changes), along with any note from our team. If you change a field and then set it back to its original value, the re-check is cancelled. Company tab Legal company information (Beauty business only) - Legal name β your officially registered business name. It must match your U.S. government records. - EIN β your business's nine-digit federal tax ID from the IRS. Company profile These details are shown to the suppliers you order from, so it's worth filling in as much as you can β a complete profile helps brands trust you. - Company name β your display name on orders and connection requests. - What services do you provide? β the services your business offers. - Photos of your establishment β show off your space. - Instagram and Facebook β links to your profiles. - Company description β tell brands your story and what you stand for. π¬ Want to change which products you see in the Shop? Your services here shape your recommendations, but you can fine-tune what appears on your Shop homepage separately β and that change doesn't need a re-check. See Personalize your Shop. Licenses tab This is where you keep your business and professional licenses up to date. - Business licenses (Beauty business only) β a business license is the state-issued permit that lets your company legally operate, and it confirms to Suplery that you're a real beauty business. Some states don't issue one at all β if yours doesn't, you won't be asked to add it. - Professional licenses β required to buy on Suplery. A valid professional license unlocks the whole catalog, not just professional-only products. Add one for each licensed professional. For any license, you only upload a photo or file β Suplery reads the state, number, and dates for you. There's nothing else to type. β οΈ Keep your licenses current. If one expires, you'll see a red badge on the Licenses tab, and you may lose access to some products until you upload a valid one. π¬ Can I edit or delete a license? You can remove a license only while it's still being verified. Once it's verified, upload a new file to replace it. Payments and Taxes tab This tab holds your payment cards and your sales tax exemption certificate. Payment methods - Add a payment method β Suplery accepts US-issued cards only (Visa, Mastercard, Discover, or American Express), added securely through Stripe. Your first card becomes your default. - Manage any card from the "β¦" menu: Make default, Disable or Enable for future orders, or Delete. β οΈ A few rules when removing a card: - To delete your default card, make another card the default first. - You can't delete a card tied to an order that's still in progress β wait until that order is canceled or paid. - To delete your only card, contact support. - Expired cards are flagged and can be removed anytime. π¬ Who can see my cards? Any teammate with access to Settings can manage payment methods (see Users & permissions). Card details are always masked, though β only the card identifier is shown, never the full number. π¬ Why can't I add my card? It's most likely not a Visa, Mastercard, Discover, or American Express card, or it was issued by a non-US bank. If neither is the case, contact support and we'll help you sort it out β and please never share your full card number with anyone. β οΈ You can add payment methods once your business is verified. Before that, adding is limited. Exemption certificate A sales tax exemption certificate is an official document, issued by your state, that lets your business buy products for resale without paying sales tax on them. If you have one, add it here so eligible resale products aren't taxed. To add it, just upload a photo or file β Suplery reads the number, state, and dates for you. You can add more than one if you're exempt in several states. π‘ Not sure whether you have one, or which form you need? Ask your accountant, or check your state revenue service's official website for the correct form and its requirements. β οΈ Suplery only accepts certificates that meet your state's rules. Please don't upload any other type of document as an exemption certificate. π¬ Why am I still charged tax even with a certificate? Exemption applies to products you resell. Products marked Professional (for use in your services, not for resale) are always taxed. Delivery tab Default delivery address Set the address your orders ship to. You can add, change, or delete it anytime. - Address - Suite / Floor / Unit - Delivery instructions β e.g., "Leave at the back door." - Contact phone β οΈ Your delivery address must be in a state where you hold a valid license (business or professional β even an expired one). If it isn't, you'll see "Delivery is possible only in the state where you have verified licenses." This is the same rule that applies at checkout; see Order from the Shop. π¬ Your delivery details are shared with the delivery service to fulfill your orders, in line with our Privacy Policy and Terms of Use. The phone number you provide is used only to reach you about an order or a delivery issue. Delivery signature Turn on Delivery signature is required if someone must physically sign for your deliveries. If no one's available at the address, the carrier may reattempt delivery β surcharges may apply. Danger zone β delete your company account π« Delete company account removes your entire company from Suplery. It's permanent and can't be undone: only the account owner can do it (your password is required), and all users lose access. Other team members see this option disabled. π¬ I only want to delete my own user account. Contact support. The owner's account can be deleted only together with the whole company β so if you want to keep the company running, transfer ownership first (see Users & permissions). FAQ π¬ Why did my change say it's being checked? Some company details are re-verified for security. You'll get a notification once they're applied. π¬ How long does deleting my account take? Usually up to 10 business days. For exactly what gets permanently removed, see our Privacy Policy. π₯ Order management5. Browse & find products
You can stock your business two ways: buy from the brands on the Suplery Shop, or buy from a supplier outsideSuplery and record that purchase yourself. This article is about finding and choosing products in the Shop. To log a purchase made elsewhere, see External orders. The Shop is where you discover products from professional beauty brands and see the full, verified information Suplery keeps on each one β so you can choose on facts, not guesswork. Finding what you need Search by product or brand name, browse by category, and sort or narrow the results until you have what you want. π¬ Prices appear once your business is verified. Until then, a product shows Unlock wholesale price in place of the price β finish verification to reveal it. See Get started & verify your business. Opening a product Click a product to open its drawer β the supplier, the variants, the price and discounts, the full information, and the attached documents all live here. Choosing a variant A product can come in variants β different shades, sizes, or volumes of the same thing. When it does, you'll see an option choice in the drawer; pick the one you need, and the price, photo, and details update to match it. Choosing a supplier Some products are offered by several suppliers. The supplier name at the top of the drawer shows who you're buying from β click it to switch to another supplier, and the price updates to that supplier's offer. Suppliers can differ on price, rating, delivery speed, and the order amount each one sets for free delivery β so it's worth a quick look before you decide. Connecting with or messaging a brand is covered in Suppliers & connection requests; how delivery is charged at checkout is in Order from the Shop. The information behind every product This is where the Shop earns its keep. For each product you get the fullest professional profile Suplery can assemble: - Verified benefits and active ingredients β what the product does, and the actives and evidence behind those claims, not just marketing copy. - A full characteristics chart β every characteristic in one table (volume, SPF, skin or hair type, finish, key ingredients, and more), so you can weigh one product against another at a glance. - Attached documents β the product's Safety Data Sheet (SDS) and its service / treatment protocols are attached right to it. - Plus photos, the full description, and the brand's own story. π‘ The SDS and protocols stay with the product. Add it to your favorites or your inventory, and those documents are always there the moment you need them. Sets Some items are sets β several products sold together. A set's page has the usual product information plus a list of links to each product inside it, so you can see exactly what's included. When a set arrives in your inventory, you can split it into the individual products or keep it as a single item β whichever suits how you work. See Inventory management. How pricing works - You buy at the product sales price β the price every operation in Suplery uses. - Discounts apply on top, including quantity discounts: the more you buy, the less you pay per unit. The tiers are shown on the product β click a discount to see its full terms. - For products recommended for resale, you may also see an MSRP β the recommended resale price to your own clients. It's shown for information only: you set your own resale prices, and Suplery never uses the MSRP for any purchase or calculation. Knowing what's in stock Every product shows its availability. Items that are out of stock or temporarily unavailable stay in the list (sorted toward the end) and show an Expected to be restocked note where there's a date β so you can plan a reorder instead of losing track of them. Keep the products you want close Tap the heart on a product to favorite it, or add it to your inventory to bring the product β and its documents β into your own catalog. Favorites, setting items aside for later, and tailoring what your Shop recommends are all covered in Personalize your Shop. Exploring a brand Every brand has its own page: its story in full, and all of its products gathered in one place β useful when you've found a brand you trust and want to see everything it makes. When you're ready to buy Add the product to your cart from its drawer. Checking out, paying, and delivery are covered in Order from the Shop. FAQ π¬ Why can't I see a price? Prices are wholesale and appear only once your business is verified. Until then you'll see Unlock wholesale price in place of the price β finish verification to reveal it. See Get started & verify your business. π¬ Can I buy without verifying, as a regular customer? No. Suplery is a professional, business-to-business marketplace β buying needs a verified professional business with a valid professional license, and isn't open to ordinary consumers. π¬ How do I switch supplier for a product? A product opens on the supplier you last bought it from. To change, click the supplier name at the top of the product drawer and choose another β you can switch any time, and the price updates to that supplier's offer. π¬ Where do I find a product's SDS and protocols? They're attached to the product, inside its drawer. Add the product to your favorites or inventory and the documents stay within easy reach. π¬ Can I search by product characteristics? Yes β you can find products by their characteristics, not just by name. π¬ What brands does Suplery carry? Browse them from the Brands area in the top menu, or open the Suppliers tab on any collection page to see the suppliers there. π₯ Order management12. Create an order
Building an order in the Orders tab is a different way to work than shopping the Shop: instead of browsing and adding to a cart, you put together one order across any mix of suppliers β Suplery and external β in a single window, then place it or save it as a draft. Whatever you build, Suplery creates one order per supplier when you place it. Prefer to browse and buy from Suplery? That's Order from the Shop. Start a new order Click New order on the Orders tab (also available from Inventory). First, choose how you want to build it: - Manual β add the products and quantities yourself. - Automatic β let Suplery work out the order from how fast you use each product and the demand it expects over a period you choose. The rest of this article covers a manual order; automated orders are summarized at the end. Add products to your order Adding products opens a picker where you filter, search, or scan to find what you need, set a quantity, and add it. Everything you add is appended to whatever's already in your order, so you can keep adding in as many rounds as you like. You can pull products from three places: - Your inventory β reorder what you already carry. - The Suplery shop β products from suppliers on Suplery. - The full catalog ("All") β everything Suplery knows, including products you don't stock yet. π‘ Two quick ways to fill an order: scan your empties with the Barcode scanner to reorder in minutes, or switch the source to "All" to order something new you've never carried before. Your order, grouped by supplier Because each supplier becomes its own order, everything you add is grouped by supplier: - Suplery suppliers β the supplier is chosen for you and the price is filled from the catalog. - External suppliers β Suplery fills in the supplier and price you used last time for that product, so repeat purchases are quick. Change a product's supplier or price Click a product in your order to open its drawer, where you can: - Change the supplier, or remove it β for example, you're buying it from someone else this time. - Change or delete the price for that product. Reassigning the supplier moves the product into that supplier's group. π‘ Carry a product that two of your suppliers sell? Open its drawer and pick whichever one you're ordering from now β the product hops into that supplier's group automatically. Add order details for an external supplier Each external supplier has a summary box on the right of its block. Open Add order detail there to fill in: - The order number (Suplery generates one if you leave it blank) and the order date β today by default, but you can backdate a past purchase or post-date one that's on the way. These two are set together. - A discount, delivery cost, and tax. π‘ Make the total match your receipt. External suppliers don't report shipping, tax, or discounts to Suplery, so add them here β it keeps your recorded spend and your inventory value accurate. (Suplery suppliers handle all of this automatically.) Place your order β or save it as a draft When your order's ready, tick the suppliers you want to place β you don't have to place them all at once. Then, per supplier: - Suplery suppliers β choose a payment method and a delivery address, the same as at checkout. (As with any Suplery order, you'll need a US card and a license in your delivery state β see Order from the Shop.) - External suppliers β you can email the order straight to the supplier. If the supplier has no email yet, click add email in the supplier block's header to open their drawer and add one. Finally, Save draft or Place. Either way, Suplery creates a separate order for each supplier. π‘ Save a draft when you're planning ahead or waiting on approval, then come back to place it when you're ready. Work with a draft Your drafts live in the Orders tab. Open one to keep editing β add or remove products, change quantities, suppliers, prices, or an external supplier's order details β then place it, or delete it if you've changed your mind. After you place Each supplier's order appears in the Orders tab, one per supplier. π‘ A placed order also shows up in each product's stock history, marked Upcoming, so you can see what's on the way before it arrives. More in Inventory management. From here, adding a tracking number (external orders included), receiving a delivery, editing an external order's number or date, and cancelling are all in Manage your orders. Repeat a past order Buy the same things regularly? Rather than building the order again, you can repeat one you've already placed. From a past order in your Orders tab, choose to repeat it, and the builder opens pre-filled with the same products β adjust anything you need (quantities, suppliers, prices), then place it as usual. It's handy for routine restocks you don't keep on a schedule: last month's order becomes this month's in a couple of clicks. Automated orders Rather than adding products by hand, Suplery can build the order for you from how quickly you use each product and the demand it expects over a period you choose. You then review and adjust the suggested order β change quantities, suppliers, or prices β exactly like a manual one before placing. This is part of the planning tools covered in Plan & schedule orders. FAQ π¬ Can one order include both Suplery and external suppliers? Yes β build them together in one window, and it splits into one order per supplier when you place it. π¬ How do I order a product I've never carried? Switch the product source to "All" to search the full catalog. π¬ A product has the wrong supplier or price β how do I fix it? Click the product to open its drawer and change the supplier or price there. π¬ How do I add shipping and tax to an external order? Open Add order detail on that supplier's box and enter a discount, delivery cost, and tax. π¬ My external supplier has no email β can I still send them the order?
